How does SIMS handle different timetables for different parts of the school?
In SIMS, the pastoral structure can be divided into School Tiers. If your school uses tiers, then each year group is associated with one tier. Examples of tiers might be Pre-Prep (Nursery), Prep (Junior), Senior, Sixth Form, Boys, Girls, etc.
With the Multiple Timetable licence you can create a separate timetable 'segment' for each tier or you can merge tiers together for the purpose of timetabling/lessons.
How can I schedule a timetable for different parts of the school that have different numbers of periods and different timings?
Each part of the school will have a separate timetable definition (SPL file) in Nova-T6. In SIMS, a master timetable cycle is created to support the number of periods and times of each of the separate timetable segments. Each model (timetable) will be imported into SIMS independently.
Can Multiple Timetables deal with pre-prep, prep and senior timetables with different finishing times?
Yes, in SIMS each period within a timetable segment has its own start and end times.
Can Multiple Timetables deal with different numbers of periods for the different timetables?
Yes, each segment can have a different number of periods. However, the number of days must be consistent across the different timetables.
Can Multiple Timetables deal with different lunch times?
Yes, either as a timetable period (teaching or non-teaching) or as a gap in the time between the AM and PM lessons.
Does Multiple Timetables allow for timetables for boys and girls separately?
Yes, school tiers can be set up for the Boys and Girls with separate year groups for the year 7 Boys, Year 7 Girls, Year 8 Boys etc. Then the Boys and Girls Tiers can be timetabled separately.
Can we share resources like IT suites or swimming pool?
Yes, rooms can be shared across separate timetables, though this must be co-ordinated.
Can we share teachers?
Yes, teachers can be shared across separate timetables, though this must be co-ordinated.
Can teachers be exclusive to a timetable?
Yes, teachers and rooms can be exclusive to one timetable segment.
Can Multiple Timetables establish the best way to share staff/resources?
No, the software can automatically schedule on one timetable but not across two or more. You can specify when the teacher is planned to teach in other timetables. This will prevent the teacher from being scheduled at that time.
Can Multiple Timetables check for problems with clashes?
A new report in Nova-T6 enables you to check for clashes to separate timetables including any transition time between each part of the school.
Can Multiple Timetables deal with registration being taken at different times of the day in different parts of the school?
Yes, in Lesson Monitor setup you can specify the periods for which lesson marks are to be used for AM/PM registration in each segment separately.
Can Multiple Timetables deal with two week timetables, where one week is in the senior school and one week in the prep school?
Multiple Timetables need a common number of days across all the segments. When the prep school timetable is complete, the timetable can be doubled up.
Can more than one person work on the timetables in Nova-T6 at the same time?
Each of the timetables for the various parts of the school can be worked on independently or concurrently as they have separate SPL files. As usual, only one person should would on a particular SPL file at once.
Will staff cover work with Multiple Timetables?
Yes, Cover can be arranged for the whole school or on a tier by tier basis.
Will Options work with Multiple Timetables?
Yes, Options can be used with Multiple Timetables as it works with curriculum years and pupil selection.
Will Lesson Monitor work if it is only used in the senior school and not in the prep?
Yes, however the Home Page will display missing register notifications for all classes in the prep school.
How will teachers be able to tell if the period is in the prep or the senior school?
The periods are given different names, e.g. S1, S2, S3 in the senior school and P1, P2, P3 in the prep school. SIMS now shows the names of the periods (rather than just the period number/index).
If teachers are shared across different timetables on different sites, can we manage the movement time between locations?
Before the curriculum is sent to SIMS, a new report can be run in Nova-T6 to compare the two timetable (SPL) files and check for clashes. This may be set to take into account any required 'transition time' between parts of the school.
How does Multiple Timetables know when a teacher is not available in one timetable because they are busy in another?
For teachers who teach in different parts of the school. timetables will need to agree when the teacher is available to teach in each part of the school. Each timetable can then assign 'placeholder' NCCs to the teacher to prevent them from being scheduled to teach when they are not available.
Can alternative activities run across timetables?
Yes, each part of the school can define their own activities. However, if the same Alternative Curriculum code and subject are used then that activity will be common across the whole school.
How are scheduled meetings recorded to cover staff in both timetables?
The Cover Diary enables cover for each part of the school or for the whole school. Staff can be marked as absent, e.g. to attend an internal meeting. Cover can then be assigned to their classes, if required.
Can we print a single timetable for teachers who work in prep and senior schools showing all activities?
Yes, it will be possible to print a timetable for all periods across the school, showing the prep school and then the senior school. A new menu is available with Multiple Timetable called 'Set Current Tier', if set to Any, all timetables will be printed. However, if set to Senior school, only senior school timetable periods will be printed etc.
Can pupils go to lessons in more than one timetable?
Yes, it is possible but you will need to be aware that these lessons may have overlapping times.
Can Multiple Timetables cope with the same year existing in more than one timetable?
A national curriculum year can be supported in more than one timetable. However, a pastoral year group can only exist in one tier and so can only be given one timetable segment.
Can Multiple Timetables work if I don't use Nova-T6 or, at least not in all parts of the school?
Yes, providing your school is using one of our partner timetabling products. There are no essential features in Nova-T6 to support Multiple Timetables, although you may find the new Multiple Timetable Conflict report useful.
